MCCC seeks a Part-Time Administrative Assistant, Foundation

Montgomery County Community College invites applications for its Part-Time Administrative Assistant, Foundation position in Blue Bell. 

The Part-Time Administrative Assistant, Foundation provides administrative support to the Executive Director of Foundation and the Foundation department.

The professional who fills this position will:

  • Serve as an additional resource to the Foundation Board
  • Assist with the Foundation’s budget
  • Assist Foundation staff and the Executive Director with gift administration, volunteer, and student support management
  • Assist Foundation staff with Marketing and Fundraising vendor and project management

Qualifications

The job of Part-Time Administrative Assistant, Foundation handles duties and responsibilities that include:

  • Assisting in donor meeting by:
    • Scheduling rooms
    • Setting necessary equipment and materials
    • Meetting and greeting visitors to Foundation 
  • Assisting the Executive Director with calendar and administrative tasks that include:
    • Coordinating appointments with internal (College) and external constituents
    • Providing additional assistance with Foundation board committee and board meetings (scheduling)   
  • Assisting Advancement Services Coordinator with:
    • Data input
    • Gift receipting and integrity process
    • Data changes and updates in CRM (Raiser’s Edge)
  • Assisting Foundation staff in coordinating meeting location, technology and meeting materials for staff-driven monthly stewardship and quarterly engagement (off campus) meetings    
  • Supporting administration of gift processing activities, including gift acknowledgments
  • Assisting the Executive Director with managing and assisting volunteers assisting with Foundation Operations, including:
    • College retirees
    • Community volunteers
    • Student ambassadors
    • Interns.
  • Assisting the Executive Director in engaging vendors for marketing projects
  • Assisting the Executive Director in managing inquiries and workflow from fundraising vendors in conjunction with annual contract for work
  • Handling communications (and communications-related) tasks such as:
    • Departmental mail and e-mail
    • Taking, screening, routing, and/or replying to calls and inquiries
    • Coordinating travel arrangements and details for department employees
  • Processing purchase requisitions for departments and expenditures from Foundation funds
  • Supporting and assisting with the processing and administration of philanthropic gifts received at the Foundation
  • Assisting the Executive Director with oversight of the Foundation budgets by:
    • Monitoring that budget monthly to ensure expenditures are aligned with approved allocations
    • Monitoring and reconciling fund activity for the Foundation.
    • Assisting with reconciling the Foundation checking account
  • Working with the Associate Director of Annual Giving and Manager of Donor Relations to process and maintain records for scholarships and awards
  • Supporting the Executive Director in collaboration with the Finance Department on financial matters of the Foundation, creating funds, providing documentation, and audits
  • Performing other duties as assigned

Essential Knowledge and Skills

The ideal background for the Part-Time Administrative Assistant, Foundation, will reflect the following.

Education/Training/Work Experience

Applicants should be able to demonstrate the following:

  • High-school diploma or GED with two years’ work-related experience required — or an Associates’ degree which is preferred
  • Proficiency in computer and keyboarding skills
  • Excellence in communication, both written and oral

Specialized Knowledge & Skills

The successful Part-Time Administrative Assistant, Foundation professional will have:

  • Knowledge of specific software or process
  • Customer-service experience
